A designated Property Agent will be assigned to oversee all aspects of the operation of the Homeowners Association. The Agent's duties will include:

Acting as custodian for the Association records and files during the management period; including the minutes, contracts, site plans, etc. The agent will also be responsible for maintaining a current roster of homeowners in accordance with the information by the Board of Directors.

Meeting with the Board of Directors as required by the Association declaration. The Agent will be responsible for issuing notice to the Board members one week prior to called meetings. The dates and times of such meetings shall be fixed by mutual agreement of the Association and Agent. Attendance by the Agent at four (4) Board meetings and one (1) Annual Meeting per year is included in the basic service fee.

Organizing, preparing and issuing notice of the Annual Homeowners Meeting and any Special Meetings, in accordance with Declaration / Bylaws. Agent shall prepare appropriate notices, proxy forms, agendas and other related forms as required for such meeting. Attendance by the Agent at the Annual Homeowners Meeting is also included in the basic service fee.

Recording and preparing minutes to all such meetings. The Agent will also distribute minutes, agendas and other such documents as necessary.

Accomplishing correspondence as necessary in order to conduct the business affairs of the Association in an orderly manner. The Agent shall be responsible for providing routine clerical assistance to the Board of Directors, including typing and mailing of all notices, letters, and other correspondence.

Maintain a close communication with the Association representatives and owners to keep the Association Members informed of all pertinent matters concerning the Association. Agent shall provide the necessary assistance to the Board of Directors in coordinating activities of Committees established by the Association.

Agent shall provide assistance to the Board of Directors in the placement of the necessary insurance coverage and policies as required by the Association. Agent will maintain appropriate records including, but not limited to, billing addresses of owners for the purpose of sending bill reminders, policies and other communications. Agent shall maintain appropriate records of tenants, when this information is made available. Agent shall also provide assistance to the Association as required by the Association in the event of catastrophic loss damages to property owned by the Association.
